We are seeking a reliable and organized Dispatch Incharge to oversee our dispatch operations. As the Dispatch Incharge, you will be responsible for coordinating the timely and efficient delivery of goods to customers, managing a team of dispatch staff, and ensuring compliance with company policies and procedures. JOB DESCRIPTION :
  • Dispatch Planning and Coordination:
      1. Plan and organize daily dispatch schedules based on order volumes, delivery locations, and transportation resources.
      2. Coordinate with warehouse staff to prioritize order picking and staging for efficient loading and dispatch.
      3. Assign tasks and responsibilities to dispatch team members and ensure adherence to schedules and deadlines.
  • Order Processing:
      1. Receive and review customer orders to verify accuracy, completeness, and delivery requirements.
      2. Coordinate with sales, customer service, and logistics teams to confirm order details and resolve any discrepancies or issues.
      3. Ensure all necessary documentation, including invoices, packing lists, and shipping labels, is prepared accurately and in a timely manner.
    1. Vehicle Management:
      1. Assign vehicles for delivery routes based on order volume, delivery locations, and vehicle capacities.
      2. Maintain records of vehicle maintenance, inspections, and repairs to ensure fleet safety and compliance with regulations.
      3. Coordinate with drivers and logistics staff to monitor vehicle statuses, track deliveries, and address any operational issues or delays.
  • Communication and Customer Service:
      1. Communicate proactively with customers regarding order status, delivery schedules, and any delays or issues.
      2. Respond promptly to customer inquiries and concerns related to dispatch and delivery.
      3. Maintain positive and professional relationships with customers, vendors, and delivery partners.
  • Performance Monitoring and Reporting:
    1. Monitor dispatch performance metrics, including on-time delivery rates, vehicle utilization, and customer satisfaction.
    2. Generate reports and analyze data to identify trends, areas for improvement, and opportunities to optimize dispatch operations.
    3. Implement corrective actions or process improvements as needed to enhance efficiency and service quality.

Qualifications:

  • Bachelor's degree in Logistics, Supply Chain Management, Business Administration, or a related field preferred.
  • 1 years of experience in dispatch operations, transportation management, or logistics coordination.
  • Strong leadership and management abilities with the ability to motivate and guide a team effectively.
  • Excellent organizational and multitasking abilities with the capacity to prioritize tasks and manage time efficiently.
  • Clear and effective communication skills, both verbal and written, with the ability to communicate professionally with internal and external team.
  • Strategic thinker with strong problem-solving skills and the ability to address operational challenges and resolve issues promptly.
